Event Terms & Conditions

Welcome. These terms help us create safe, respectful spaces where everyone can connect and be present. By registering for a Kaya event, you agree to these conditions.
Registration & Booking
How to Register: Events are booked through our website or WhatsApp. Your registration is confirmed once payment is received and you receive a confirmation email or message.
Accuracy of Information: Please provide accurate contact information when registering. We're not responsible if you miss event updates due to incorrect details.
Age Requirements: Most events are for adults 18+. Specific age requirements will be listed in the event description. Minors must be accompanied by a parent or guardian where permitted.
Capacity Limits: Many of our gatherings are intentionally intimate. Once capacity is reached, you may join a waitlist. We'll contact you if space becomes available.
Payment
Payment Methods: We accept cash, Bizum, Revolut or bank transfers. All payments are processed securely through the banks or operating platforms.
Pricing: Event prices are listed in Euros. Additional costs (if any) will be clearly stated.
Payment Due: Full payment is required at the time of registration unless otherwise specified.
Cancellations & Refunds
If You Need to Cancel:
More than 7 days before the event: 50% refund
Less than 7 days before the event: No refund, but you may transfer your spot to someone else (notify us in advance)
No-shows: No refund
To cancel, email us at hello@livingkaya.com with your booking reference or send us a WhatsApp.
If We Cancel:
Sometimes circumstances require us to cancel or reschedule an event (weather, illness, insufficient registrations, unforeseen circumstances).
If we cancel:
You'll receive a full refund within 10 business days.
Or you may transfer your payment to another Kaya event
We'll notify you as soon as possible, but we are not liable for any travel or accommodation costs incurred
Rescheduling:
If we reschedule an event, you may:
Attend the new date
Receive a full refund
Transfer to another event
Event Policies
Presence Over Performance: Our gatherings are phone-free and photo-free spaces. We ask that devices remain stored away during events. This is non-negotiable and essential to the container we hold.
Official event photography (if any) will be announced in advance. You may opt out of being photographed.
Respectful Behavior: We cultivate spaces of safety, respect, and inclusion. We ask that you:
Arrive on time (late arrivals may not be admitted if they disrupt the gathering)
Respect other participants' boundaries and experiences
Maintain confidentiality about personal stories shared in the space
Refrain from disruptive behavior, discrimination, harassment, or substance use
Honor the facilitator's guidance and event structure
We reserve the right to remove anyone whose behavior compromises the safety or experience of others, without refund.
What to Bring: Event descriptions will list what to bring (comfortable clothing, water bottle, journal, etc.). Please come prepared.
Accessibility: We're committed to making our events accessible. If you have specific needs or questions about accessibility, please contact us before registering so we can support you.
Health & Safety
Physical Activity: Some events may involve gentle movement, walking in nature, or physical activities. Participate at your own comfort level and communicate any limitations to facilitators.
Medical Conditions: Please inform us of any medical conditions, allergies, or physical limitations that facilitators should be aware of. This information is kept confidential.
COVID-19 & Illness: If you're feeling unwell, please stay home. We may implement health protocols as needed. If you can't attend due to illness within 48 hours of the event, contact us - we'll work with you case by case.
Food & Dietary Requirements: If an event includes food, please inform us of allergies or dietary restrictions when registering. We'll do our best to accommodate, but cannot guarantee allergen-free environments.
Assumption of Risk & Liability
Voluntary Participation: You participate in Kaya events voluntarily and at your own risk. Our gatherings may take place outdoors, in nature, or involve creative activities.
Release of Liability: To the fullest extent permitted by law, Kaya, its organisers, facilitators, volunteers, and venue partners are not liable for:
Personal injury, illness, or death
Loss, theft, or damage to personal property
Emotional or psychological distress
Any indirect, incidental, or consequential damages
This applies whether caused by negligence or otherwise, except where liability cannot be excluded by law.
Outdoor Events: Nature-based events carry inherent risks including uneven terrain, weather conditions, insects, and wildlife. By attending, you acknowledge these risks and agree to follow all safety guidance provided.
Intellectual Property
Event Content: All event content, materials, teachings, and practices shared by facilitators are the intellectual property of Kaya and/or the facilitator. You may not record, reproduce, or distribute this content without express written permission.
Your Content: Any feedback, ideas, or creative contributions you share during events may be used by Kaya for future programming or promotional purposes, unless you specify otherwise.
Photography & Media
As stated in our event policies, we do not permit personal photography or recording during events.
If (on a rare occasion) we arrange official photography:
You'll be informed in advance and the photographs will be made to serve you, as well as the Kaya brand
Participation in photos is optional
Images may be used for promotional purposes (website, social media, newsletters)
You may request to opt out or have images removed by contacting us
Session Cookies: Temporary cookies that expire when you close your browser.
Persistent Cookies: These remain on your device for a set period or until you delete them. They help us recognize you when you return to our site.
Privacy
Your personal information is handled according to our Privacy Policy. We collect only what's necessary to facilitate events and communicate with you.
Weather & Force Majeure
For outdoor events, we monitor weather conditions closely. In case of severe weather, we may:
Postpone or reschedule (you may attend the new date or receive a refund)
Move to an alternative location
Proceed with modifications
We're not liable for weather-related cancellations or changes, but we'll always prioritize your safety and experience.
Events may be canceled due to force majeure (natural disasters, pandemics, government restrictions, etc.). In these cases, we'll offer refunds or event transfers but are not liable for any additional costs.
Communication
Event Updates: Important event information will be sent via WhatsApp & email. Please check your inbox (including spam folder) before attending.
Amendments
We may update these Terms & Conditions from time to time. Changes will be posted on our website with an updated effective date. Your continued participation in events after changes are posted constitutes acceptance of the new terms.
For events already booked, the terms in effect at the time of registration will apply.
Severability
If any provision of these terms is found to be unenforceable, the remaining provisions will continue in full effect.
Governing Law
These terms are governed by the laws of Spain. Any disputes will be resolved in the courts of Andalucia.
Agreement
By registering for a Kaya event, you acknowledge that you have read, understood, and agree to these Event Terms & Conditions.
